Am I a Table Host? If you are sponsoring the event or purchased a table and are inviting guests to join, you are a Table Host.
Below is a series of example emails that can be used to invite your guests. Feel free to simply copy/paste the text into an email or send as a lift note with the email invitation you received from our organization.
Be sure to pay special attention to the italicized lines that you can customize.

Did you attend an event that they invited you to (quid pro quo asks can be the easiest)? If they are the type that will come for the networking opportunities – Highlight that this is great opportunity to do just that! Lastly, share with them why you are passionate about WCV.]
Because I know you value Washington’s environment and believe in acting to protect it, I wanted to invite you to join me at Washington Conservation Voters’ and Washington Environmental Council’s annual fundraiser on Friday, October 14th.
I hope you’ll join me to catch up over breakfast, network with Washington’s environmental-political community, and learn about WCV’s 2019 work and priorities leading into the election.
Again, the event will be Friday evening on October 14th at The Westin in downtown Seattle. The cost of the table is covered, though I’d love for you to join me in making a gift to WCV or WEC at the event! Please check your calendar and let me know if you can come as soon as possible.

Email #2 – A reminder to people who haven’t responded to your first invite

I know it’s hard to think about fall and Election Day in the middle of summer, but I wanted to remind you of my invitation to Washington Conservation Voter’s Breakfast of Champions event on Friday, October 11th – Are you free and interested in attending with me?
I’d love to have you join my table. The table has been purchased, so there is no cost to attend. But do keep in mind that there will be a financial ask during the program and I hope you’ll join me in supporting WCV at that time.
Please reply to this email to let me know if you’re able to come. I need to update WCV with guest names so they can move forward with planning, so please let me know as soon as you can.
Again, the breakfast will be on Friday, October 11th, 7:30am to 9:00am at The Westin. Registration opens at 7:00am, the program will start by 7:30am.

Email #3 – Day-of details (send 3-5 days before the event)

I’m looking forward to seeing you on Oct. 11th for WCV’s Breakfast of Champions – thank you for being part of my table. On the day of the event, you will find a name tag waiting for you at registration, then make your way to our table (the table number will be listed on your name tag).
Below is everything you need to know prior to the event:
When: Friday, October 11th (Registration at 7am, Program, 7:30am-9:00am)
Where: The Westin, 1900 5th Avenue, Seattle, Washington, 98101. Follow signs and greeters to the Grand Ballroom.
Parking & Transportation: Hourly and valet parking are available, but I urge you to consider taking public transportation – it will save you money and the environment. (Check out http://tripplanner.kingcounty.gov/ or use Google Maps’ public transit feature to plan your route.)
If things come up and you are unable to attend, please give me a call as soon as possible and let me know if you know of someone who would like to come in your place. Check out www.wcvoters.org to learn more about WCV before the event.
